Scandic Reservation terms & conditions

General

You and the hotel hereby agree to the terms and conditions of the room rental. The name of the company that runs the hotel (hereinafter referred to as 'Scandic‚Äč' or 'The Hotel') and with which the agreement is entered into, is stated in the booking confirmation. Unless a special agreement is entered into, the following rules apply. Special rules apply for conferences and group bookings.

Booking and confirmation

A booking is binding once it has been confirmed and you have received a booking reference number. You may receive this verbally, in writing, or through our booking system. When you make a booking, you must state your name, address, email address, arrival and departure time, and payment method. It is important for you to provide your email address so you can receive your booking confirmation, and so you are able to check out online. Different terms apply to different rates; please see the detailed pricing information. In order to book a room at a Scandic hotel, you must be 18 years of age or older. If you book a room for a minor, you are responsible for that person, whether you stay in the room with the minor or not. PLEASE NOTE At Scandic Anglais, Scandic Continental, Scandic Malmen, Scandic Grand Central, Downtown Camper by Scandic, Haymarket by Scandic, Scandic Paasi, Grand Hotel Oslo by Scandic and Hotel Norge by Scandic, minors under the age of 18 are not permitted to stay overnight unless in the company of a parent or legal guardian. A permission document is not sufficient. For security reasons, only employees and checked-in guests have access to our hotel rooms and other reserved areas.

Arrival and departure

Arrival and departure times may vary depending on the booking and price agreements. Please read the information in the price list carefully here before you complete your booking.

Cancellations and no-shows

Cancellation terms depend on the price agreed at the time of booking. Read the information in the price list carefully. Unless otherwise agreed when making a booking, or where other terms apply to the selected rate, cancellations are permitted up until 18:00 local time on the day of arrival. If you do not show up and you have not cancelled the booking in advance, or if you cancel after 18:00 local time, you will be charged for one night’s accommodation. For our hotels in Germany and Poland, you must pay 90% of your booked stay if you have not cancelled in advance, or have cancelled after 18:00 on the day of arrival. If the hotel has incurred expenses specifically associated with your booking, you are obligated to cover such expenses.

Early departure and indefinite stay

If you have booked a room for a certain length of time but leave the hotel earlier, this may give rise to a price adjustment. Contact the hotel and notify them about your departure. If you stay at the hotel for an indefinite period of time and extend your stay on a night-by-night basis, you must notify the hotel of your departure by 18:00 the day before your departure. Otherwise, you will be required to pay an extra night. If the hotel does not have any rooms available, the hotel shall inform you of this no later than 18:00 the day before you have to leave the hotel.

The hotel’s obligations and your requests

If the hotel cannot offer you a room as agreed, you are entitled to, at no extra cost, a similar or better room in the hotel or in a hotel of similar standard. Inform the hotel staff of any requests you have when you make your booking so the hotel can be prepared for your stay. Our hotels have non-smoking rooms. If a guest violates the non-smoking rule, the hotel has the right to demand payment from the guest for any costs arising thereof. If you wish to bring a pet with you, please notify the hotel when booking.

Payment

Payment in advance is required for certain price offers. See our price list for more information. The prepaid amount will be deducted from your final bill. If the booking is cancelled after the cancellation deadline, the hotel is entitled to withhold a booking fee/advance payment. The room bill must normally be paid upon arrival at the hotel. Please be advised that our Swedish hotels do not accept payment in cash. All our hotels accept the most widely used credit and debit cards. The hotel is not obliged to accept credit and debit cards, cheques, vouchers, or foreign currency unless the hotel offers this service.

Tourist tax

The city of Frankfurt levies a tourist tax per guest/night. This extra fee is not included in the single night accommodation rate and must be paid directly at the hotel. Guests staying overnight for work reasons, or guests who are exempt from this payment (particularly students who are on class tours) in accordance with the City of Frankfurt’s regulations on tourist tax, do not need to pay this tax. Payment of this tax must be documented by the guest. In our hotels in Berlin and Hamburg, the total price applies regardless of whether an overnight, or cultural and tourist tax must be paid.

Storage of valuables and luggage, as well as safekeeping valuables in our luggage room

As a general rule, your valuables may be kept in the hotel’s safe. The hotel can store your luggage in a locked luggage room. Do not leave valuables or luggage unattended in the lobby when checking in or checking out, having breakfast, or waiting for a taxi. For security reasons, the hotel is under no obligation to store items of high value or items that could jeopardise the safety of our hotel staff or guests. The hotel is not fully liable for any items you keep in your room or in the luggage room.

Processing of Personal Data

The Scandic Group processes personal data provided by those who make use of our services and products. Scandic Hotels AB, and the hotel in which you have booked accommodation, are both data controllers for the personal data that relates to your booking. This processing of personal data will be completed in accordance with Scandic’s Privacy Policy. Please read our Privacy Policy to understand how Scandic treates your personal information for the purpose of managing your reservation, as well as your rights associated with this treatment.
